Privacy Policy

Your privacy is fundamental to the trust we build with every owner and resident. Last updated: January 1, 2026.

1. Introduction

Atlas Asset Management ("Atlas", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website, use our property management platform, or engage with our services. By using our services, you consent to the practices described in this policy.

2. Information We Collect

We collect information you provide directly to us, such as your name, email address, phone number, mailing address, financial information (for lease applications and payment processing), and government-issued identification where required by law. We also collect information automatically when you use our website, including IP addresses, browser type, pages visited, and interaction data, through cookies and similar tracking technologies.

3. How We Use Your Information

We use the information we collect to: process lease applications and tenancy agreements; facilitate property management services on behalf of owners; communicate updates, maintenance notices, and service announcements; process payments and financial transactions; comply with legal and regulatory obligations; improve our website and service offerings; and send marketing communications where you have provided consent or where permitted by law.

4. Sharing of Information

Atlas does not sell your personal information to third parties. We may share your information with: trusted service providers who assist us in operating our platform (subject to confidentiality obligations); property owners as necessary to manage your tenancy; credit reporting agencies and background check providers for tenant screening; legal or regulatory authorities when required by law; and successor entities in the context of a merger, acquisition, or asset sale.

5. Tenant Screening Data

As part of the leasing process, Atlas collects sensitive personal data including credit history, criminal background records, and income verification. This information is used solely to assess tenancy eligibility and is handled in strict accordance with the Fair Credit Reporting Act (FCRA) and applicable state regulations. Screening data is retained only for as long as legally required and is never used for marketing purposes.

6. Owner Reporting & Financial Data

Property owners who utilise our management services have access to real-time financial and operational reports through the Atlas platform. Financial data is transmitted and stored using industry-standard encryption. Access is restricted to authorised account holders and Atlas personnel with a legitimate need to process such information.

7. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. This includes encrypted data transmission (TLS), access controls, and regular security assessments. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain personal information for as long as necessary to fulfil the purposes described in this policy, unless a longer retention period is required by law. Tenant application data for unsuccessful applications is typically retained for 12 months. Active tenancy and owner records are retained for a minimum of 7 years following the end of the relationship for legal and accounting purposes.

9. Your Rights

Depending on your jurisdiction, you may have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data (subject to legal retention obligations); withdraw consent where processing is based on consent; and lodge a complaint with a relevant data protection authority. To exercise any of these rights, contact us at [email protected].
